Privacy Policy for Emailexpert UK

LONDON FORUM: PRIVACY AND ATTENDEE INFORMATION

London Forum is organised by Emailexpert UK Ltd. We use the personal information supplied during booking to process your order, administer your ticket and attendance, send essential event communications, prepare your badge, manage event access and security, and provide event materials. Ticketing is provided through Ticket Tailor.

We will also use your name and email address to create or update your access to the Emailexpert Member Hub, operated using HeySummit, so that you can access London Forum recordings and replays where available. You may receive account-access and other service messages for these purposes. Registering for London Forum does not, by itself, subscribe you to general marketing communications.

We provide London Forum sponsors with an attendee list containing attendee names, job titles and organisations. Email addresses and telephone numbers are not included. You may object to being included in this list by contacting privacy@emailexpert.com. We only share your email address or other contact details with a sponsor for its own follow-up where you make a separate, affirmative choice to opt in to that named sponsor.

We may invite you by email to join a London Forum WhatsApp group. Joining is voluntary, and we will not add you automatically. If you join, other participants may be able to see your phone number and WhatsApp profile information.

Badge scanning and networking

Delegate badges may include a QR code that can be scanned for networking and sponsor engagement. Depending on the event setup, scanning the code may make information such as your name, job title, organisation, LinkedIn profile or contact details available to the person or organisation scanning it.

You remain in control of whether your badge is available to be scanned. We provide a removable sticker with your delegate badge which you can place over the QR code if you do not want it to be scanned.

Where you choose to make the QR code available for scanning, information made available through that scan may be received and retained by the person or organisation carrying out the scan and may be used by them for subsequent business follow-up.

We do not provide sponsors or exhibitors with your email address simply because you attend London Forum or because your badge contains a QR code.

Where we offer a separate opportunity for your email address or other contact details to be shared directly with a particular sponsor outside badge scanning, this will require a separate affirmative action from you and will identify the sponsor concerned.

London Forum sessions and event spaces may be photographed, filmed or audio-recorded. Recordings may include audience questions and incidental images of attendees and may be made available through the Emailexpert Member Hub or used in Emailexpert editorial and event-promotion material. Please contact us before the event or speak to the event team if you have concerns about being photographed or recorded.

If you book on behalf of another attendee, please make sure that they receive this notice.
